How to insert music in powerpoint?

Consider the situation when you need to add several music files to the PowerPoint presentation that replace each other in the demonstration mode. Our training presentation has 6 slides. You need to add the first music file that will be played from slide 1 to 3, and the second file that will play from slide 4 to 6. How to do it?

To add a slide change sound:

  1. open the created presentation,
  2. click on any slide in the slide selection field,
  3. press on the keyboard “Ctrl” and “A” (select all),
  4. select the "Animation" section (above),
  5. in the “Transition to this slide” subsection, click on the “Transition sound” field,
  6. select the desired sound in the drop-down list or add your own from the disk.

This sets up the same transition sound for each slide, but you can set different ones, for which you do not need to select all the slides, but select them one at a time and assign each one a transition sound.

To add background music:

  1. open the created presentation,
  2. click on any slide
  3. select the "Insert" section (above),
  4. in the subsection “Media Clips” click on the “Sound” button,
  5. select the desired song and press the OK button,
  6. in the window that opens, click the "Automatic" button.

So the music file will sound only when the selected slide (in step 2) is shown. In order for this composition to be reproduced throughout the presentation, you should:

  1. double-click the icon with the image of the speaker added to one of the slides,
  2. in the subsection “Sound settings” (at the top), click on the field near the inscription “Play sound”,
  3. select “For all slides” in the drop-down list,
  4. put a bird in front of the line "Continuous".

In the same section, you can set the sound volume of the selected song.

To add slide change sounds here you will need:

  1. open the created presentation,
  2. click on any slide in the slide selection field,
  3. select the “Slide Show” section (above),
  4. click on the item “Change slides”,
  5. click on the field near the line “Sound” in the panel that opens (on the right),
  6. select the desired sound in the drop-down list.

So the transition sound will be assigned only to the selected slide. If you need to install it for the entire presentation, click the "Apply to all slides" button in the right pane.

How to insert music into a PowerPoint 2007, 2010, 2013 or 2016 presentation

If you use PowerPoint 2007, 2010, 2013 or 2016, in order to insert music into the presentation you need to open the slide where the music should begin and go to the “Insert” tab. Here, on the tab "Insert, you need to click on the" Sound "button and select" Sound from file "in the menu that opens.

After that, a window for selecting a file will open. Select the file with the music you need and a small player with a speaker image will appear in the presentation.

By default, playback of inserted music starts only after pressing the “Play” button. If this option for launching music is not suitable for your presentation, then you can enable automatic playback. To do this, select the image of the speaker that appeared after inserting the music with the mouse and go to the “Playback” tab. There is a drop-down menu with which you can choose how to start playing music.

Three playback options are available:

  • By a click - music playback starts after pressing the “Play” button,
  • Automatically - music playback starts automatically when the slide shows and ends after moving to the next slide,
  • For all slides - music playback starts automatically when the slide shows and continues on all the following slides,

In addition, on the “Playback” tab, there are other functions that may be useful to you. Further we will consider some of these functions.

Continuous music playback. On the Playback tab, you can enable continuous playback. In this case, the music inserted in the PowerPoint presentation will be played in a circle. This is very convenient if you want the music to sound throughout the presentation.

Hiding the image. By setting the checkbox next to the "Hide when showing" function, you will hide the speaker image during the slide show.

Volume. Using the “Volume” drop-down menu, you can change the volume of the music inserted into the presentation. There are four gradations of volume: quiet, medium, loud and mute.

Duration of fading. Using the "Extinction Duration" function, you can configure the smooth appearance and smooth loss of sound.

Sound editing. Also in the PowerPoint presentation editor you can perform the simplest editing of music.

To do this, click on the “Sound Editing” button and in the window that appears move the sliders indicating the beginning and end of the sound track.

Audio insert

You can add an audio file to a slide as follows.

    First you need to enter the tab "Insert".

There are two options to add in PowerPoint 2016. The first one is just inserting media from a computer. The second is sound recording. We will need the first option.

A standard browser will open where you need to find the required file on the computer.

This completes the audio upload. However, just inserting music is half the battle. For her, after all, there must be an appointment, and this is exactly what should be done.

Sound settings for the general background

To begin with, it is worth considering the work of sound as an audio accompaniment to a presentation.

When you select the added music, two new tabs appear in the header in the header. “Work with sound”. We don’t really need the first one, it allows you to change the visual style of the audio image - this very speaker. In professional presentations, the picture is not displayed on the slides, and therefore it does not make much sense to set it up here. Although, if necessary, you can dig here.

We are interested in the tab "Playback". Several areas can be distinguished here.

  • "View" - The very first area that includes just one button. It allows you to play the selected sound.
  • Bookmarks They have two buttons for adding and removing special anchors in the audio playback tape, so that you can subsequently navigate the melody. During playback, the user will be able to control the sound in the presentation viewing mode, switching from one moment to another with a combination of hot keys:

The next bookmark is "Alt" + "End",

Previous - "Alt" + "Home".

  • "Editing" allows you to cut out individual parts from an audio file without any separate editors. This is useful, for example, in cases where the inserted song only needs to play the verse. This is all configured in a separate window, which is called by the button “Sound Editing”. Here you can also specify the time intervals when the audio will fade or appear, lowering or increasing the volume, respectively.
  • “Sound Options” contains the basic parameters for audio: volume, methods of application and settings for starting playback.
  • “Sound Styles” - these are two separate buttons that allow you to either leave the sound as it is inserted ("Do not use style"), or automatically reformat it as background music ("Play in background").
  • All changes here are applied and saved automatically.

    Recommended Settings

    Depends on the scope of the particular inserted audio. If this is just a background melody, then just click on the button "Play in background". Manually, this is configured as follows:

    1. Checkmarks on the parameters “For all slides” (music will not stop when moving to the next slide), "Continuously" (the file will be played again at the end), "Hide on impression" in the area of “Sound Options”.
    2. In the same place, in the graph "Start", choose "Automatically"so that the start of music does not require any special permission from the user, but begins immediately after the start of viewing.

    It is important to note that audio with these settings will only play when the view reaches the slide on which it is placed. So, if you want to set music for the whole presentation, then you need to put such a sound on the very first slide.

    If it is used for other purposes, then you can leave the beginning Click-to-Click. This is especially useful when you need to synchronize any actions (for example, animation) on a slide with sound.

    As for the other aspects, it is important to note two main points:

      Firstly, it is always recommended to tick the box next to "Hide on impression". This will hide the audio icon during the slide show.

  • Secondly, if you use musical accompaniment with a sharp loud start, you should at least set up the appearance so that the sound starts smoothly. If when watching all the audience startled by the sudden music, then from the whole show they are likely to remember only this unpleasant moment.
  • Sound settings for controls

    The sound for the control buttons is configured completely differently.

      To do this, right-click on the desired button or image and select the section in the pop-up menu "Hyperlink" or "Change hyperlink".

    The control settings window opens. At the very bottom is a graph that allows you to configure the sound for use. To enable the function, you need to put a corresponding checkmark in front of the inscription "Sound".

  • Now you can open the arsenal of available sounds. The most recent option is always “Another sound ...”. Selecting this item will open a browser in which the user can independently add the desired sound. After adding it, you can assign it to trigger when you click on the buttons.
  • It is important to note that this function only works with sound in .WAV format. Although there you can choose to display all the files, other audio formats will not work, the system will simply give an error. So you need to prepare the files in advance.

    In the end, I would like to add that the insertion of audio files also significantly increases the size (the volume occupied by the document) of the presentation. It is important to consider this if any limiting factors are present.
