Greetings to all readers of the online magazine! The idea of writing an article related to time management and writing out the mosteffective ways to plan work time. And here the other day one of the readers recalled this and I decided today to share with you my thoughts on this subject.

I am sure that each of you has noticed for yourself many times: it seems like you’ve been plowing all day, incredibly busy with something, but by the end of the day, thinking about what you managed to do today, you realize with great surprise that there is no significant result.

How usually does a day go by for an average Russian? Woke up, ate (if you already have something to eat). I went to work with my thoughts: “Today is an important day. Today everything needs to be in time! I arrived, sat down at my desk and looked at the monitor: So, s, where would it be better to start ... ?. It would be necessary to check the mail ..., well, and get in touch on the way for a minute ... Two hours passed. I remembered that it was necessary to work. Just started to work, when suddenly the men called for a smoke, went with them, quietly half an hour passed by the conversation. And then lunch will be soon, figs strain, because after lunch a lot of time, you will have time. After lunch, the boss sent him to a meeting with partners. You arrive in the evening at the office, you understand that you didn’t have a damn thing, you linger at work to finish it all. Suddenly you recall that today is the birthday of a loved one, you call him, congratulate him, and say that you will not come, because a lot of work. You arrive home from work, there is no mood, tired as a dog, you take a couple of bottles of beer to correct your mood. With children there is no desire to play, with a wife (husband) is also not the best time to spend time. He turned on the telly and soon passed out in his chair, not even finishing his beer. And so day after day ...

Hope you spend your day more profitably. Nevertheless, a lot of people live every day. Naturally, what I cited as an example is a tiny fraction of what really happens to people. There are a bunch of other side effects. And all due to the fact that a person lives today and conducts it as circumstances arise. Hence the productivity, that in the work plan, that in the family is close to zero. Fortunately, there is a way out. Daily planning of your day will help increase your productivity.

Daily time planning is an integral part of any successful person. After all, when a person always knows what he wants and what needs to be done at a certain point in time, he manages to do much more than he who spends his day “how it goes.”

Here are ten basic rules, adhering to which you can make your ownwork schedule as efficiently as possible. Of course, this is not a panacea, and everyone can edit their diary in accordance with their own strengths, the amount of work, the speed of tasks, sleep, rest, etc.

PLANNING YOUR TIME. 10 RULES

1. Try to adhere to the principle of 70/30.
Planning absolutely all your time is impractical, because in this case, your actions will completely diverge from your schedule. And the complete “imprisonment” of your time in a diary will lead to the fact that you will be in too tight a framework and constantly feel like some kind of robot, in which all life is minutely painted.

The best solution is planning 70% of own time. You must admit that some events are difficult to predict, and almost every day a certain “surprise effect” occurs, so you should always leave some of the time free. Or, as an option, make a certain margin in each time period.

2. Make a plan for the next day tonight.
Planning the next day at the end of today is commendable, but in order not to forget anything, be sure to write down all your affairs. Separate cases by importance by dividing the notebook into two columns. In the first, write down what needs to be done immediately. In the second - which is less important, and in the case of force majeure it can be transferred to another day.

Cross out the tasks and tasks that you dealt with one after the other. This will serve as an additional incentive for you and add new forces to solve the remaining tasks. The fewer tasks you have left, the more confidence that you will cope with them.

At the end of each day at the very bottom, you can add an inscription like: "Hooray! I did it ”,“ Well done! ” But this is only the beginning! ”,“ I managed to do everything! I am cool! But there is still a lot to do! ”. This inscription will also stimulate you to achieve your tasks in the morning and at the same time not relax.

3. Try to accomplish most of your plan before lunch.
When you realize in the middle of the day that the most important thing is done today and is already behind, it is much easier to complete the remaining tasks. Take advantage of the lunch break to solve your personal affairs (call relatives, answer missed calls, discuss issues with the bank on a loan, pay bills, etc.). Leave a minimum for the evening (negotiations with the developer, going to the salon, buying food, training in the gym).

4. At each working hour, add rest minutes.
Mandatory rule for everyone. The more often you relax, the more productive your activity will be. Everyone chooses the most convenient scheme for himself, but two schemes work especially well: 50 minutes of work / 10 minutes of rest or 45 minutes of work / 15 minutes of rest.

During the rest it is not necessary to smoke bamboo and spit on the ceiling while lying on the couch. After all, this time can be spent with benefit. Do a warm-up: push up, pull yourself up, stand on your head (if space permits), do exercises for the neck and eyes. Put the workplace in order, do the cleaning in the house or office, read a book, take a walk in the fresh air, make the planned calls, help colleagues (family, if work at home), etc.

5. Try to create realistic planning.
Do not overwhelm yourself with such a volume of work that you cannot handle. Do not go to extremes of excessive planning (such as any mountains on your shoulder) and plan only such a volume of tasks that you can really cope with.

Please do not confuse planning with goals. Your goals can be super-grandiose, they, in principle, should be so. But in order to achieve these goals in the shortest possible time, there must be realistic competent planning of tasks. This absolutely does not mean that you should work every day until you lose heart rate in order to achieve your goal as soon as possible. It is better to do one thing in small portions stably every day than to do the same thing from the beginning to the end of the day randomly and hastily. Then you will not be exhausted, and the achievement of goals will be systematic.

In addition, add a column at the end of each day. “The plan is completed by ____%” and enter there the percentage of your completed tasks for today. This will serve as additional stimulation for you, as well as provide an opportunity to compare the results and make appropriate corrections in the future when planning your time.

Try every day, although not by much, but to overfulfill the plan. Those. try to additionally close those tasks that were not indicated in the plan. Naturally, they should be tackled only after all the planned tasks have already been completed. Agree, it’s nice to observe your super-productivity, looking at the numbers 105%, 110%, 115% at the end of each working day.

6. Complete large tasks in small parts.
This tactic is also called the “salami cutting” tactic. Einstein noticed thatmost people like to chop wood, because the action immediately follows the result. Divide your goals and projects into small portions and carry them out for a fairly long time, each day giving about two hours to this work. Upon reaching the first interim goal, certain results will be revealed that will stimulate the fulfillment of the remaining tasks.

For example, I’ll take the creation of a product: Every day you can stupidly add the line “Create a video course” to the diary and work on this course. But in this case there is some big cons:

  • you do not have the ability to predict the timing of your course
  • every day you don’t know why you should continue to work on the course
  • you don’t have a feeling of satisfaction from the work done until you finish the work on your course completely

If the creation of the course is divided into many small portions and closed gradually, then all of these disadvantages can be easily avoided.

Those tasks for which you, to put it mildly, cause discontent, or in which you are incompetent, feel free to delegate to other specialistswho perform these high tasks. You will save a lot of time, and the planned work will be done more professionally.

7. Stay in silence for a while.
It often happens that the TV in the next room, the radio that works for days on end, someone's voices, people passing by you, the building under construction on the next street are so annoying that it is simply impossible to concentrate normally on important tasks. Instead of solving specific problems, the tights for 574 rubles that your employee bought today, or the last super-mega-hit Justin Bieber playing now on the radio, spin in my head.

To perform extremely important tasks it is necessary to be able to work quietly, without any external interference. It is in this case that you can, with maximum focus, achieve the highest labor productivity and productivity.

8. Put items in place as soon as you finish using them.
This will save you a lot of time in the future, and also help to avoid clutter. Not for nothing they say: “If you want to know about your future partner, look at his desktop. What order is on his desk - such order is in his affairs. ”

I advise you to throw out all your old and unnecessary things, get rid of excess trash so that only the most necessary for work is on the table.

Keep things in clearly defined places. For example, put all documents in a separate folder or box, keep receipts and receipts chipped in a specific place, pens and pencils in the most convenient place for use. Fortunately, now you can easily purchase special kits, boxes, cases to solve this problem.

Do it and feel the incredible effect!

9. Get rid of unnecessary things.
All stocks of old things left in case “and suddenly come in handy” will not bring you anything but excess dust and mess. In addition, it is believed that things sent by us “for scrap” to the mezzanine, to the suitcases, under the sofa, to the pantry, to the kitchen, carry negative energy.

This, as you understand, concerns not only the desktop, but also the working and home spaces in general. Therefore, ruthlessly get rid of these "very necessary things that you are sorry to throw away." Gather all the good into the truck, take it to a landfill and burn it. If it’s really a pity, then put everything near the porch, those in need will quickly be sorted out. Clothes and shoes can be transported to orphanages and nursing homes. You will only be grateful.

10. Lead an active and healthy lifestyle.
If you are still not very friendly with sports, gymnastics, water procedures, proper nutrition, etc., then I advise you to add any of this to your daily routine. I give you a 100% guarantee that the results will greatly please you. The main thing is that you do not filon and clearly follow your sports schedule. You yourself will not even notice how quickly your health and overall physical condition improve. Also, you can easily get rid of bad habits if you set a goal and instead of bad habits, build good habits.

It should be remembered that the best dream is a dream before midnight, because during this period, your body is resting and gaining strength in the best way. In other words,go to bed today, not tomorrow.

Get enough sleep, exercise, eat right. Your body will thank you with good health, a high level of positive energy and readiness for productive activities.

In the end I will give an example of my routine, so that you have something to compare. I can not say that it is perfect universal schedule for everyone, but personally he completely suits me. Compared to my very first routine, it has been adjusted more than once and at the moment it looks like this ...

PERFECT PLANNING YOUR DAY FROM MY POINT OF VIEW

06:00-07:00Rise, charge, douche, morning run, morning procedures, shower
07:00-07:30Breakfast
07:30-08:30Rest, checking mail, other matters
08:30-09:00I'm going to the office
09:00-12:00Workflow (the most important tasks for today are introduced)
12:00-12:30Dinner
12:30-13:00Rest, other matters
13:00-14:00Reading literature
14:00-18:00Workflow (minor tasks for today are introduced)
18:00-18:30Dinner
18:30-19:00Overfulfillment of the plan, planning the next day
19:00-19:30Driving home
19:30-22:00Household chores, exercise machine, outdoor activities, walking, entertainment, meeting with friends
22:00-22:30Summing up, final adjustment of the schedule for the next day, preparation for bed
22:30-06:00Sleep

Small notes to the plan:

  • The routine It is designed for weekdays (working days) and does not apply to weekends. On weekends there should be a plan, but tailored specifically for rest (everything remains the same, roughly speaking, only the Workflow for Rest changes), as a last resort, some work moments are postponed to the day off (if you did not manage to do something or something deadly important).
  • Each time period is taken with some margin. Deviation from the routine for 30 minutes is normal.
  • Everyone's morning can start from a different time. I just moved to an earlier time to do more and it gave positive results.
  • The time of departure from home to work and back can also be different for everyone. I chose the best time for myself - when traffic jams are already resolving in the city.
  • Daily reading of literature is considered an obligatory rule for everyone. If time does not allow reading at work - read at lunch, on the bus, after work, before going to bed.
  • It happens that in connection with additional matters you have to go to bed much later. In any case, try to wake up according to your schedule, otherwise your daily routine will constantly shift, and this is not good.
  • On weekends, you can get up later and go to bed later, but also adhere to the schedule, waking up and lying down at the same time (for example, an hour or two later than on weekdays).

To plan your time, you can use the organizer, a notebook, a regular sheet of paper, a notebook, various special programs and applications. Personally, I use Google’s very easy-to-use Calendar. In addition to the fact that it has a number of useful functions, it synchronizes with mobile devices, which means that it is always at hand, wherever you are. In general, in the field of application synchronization, Google is taking huge steps. This greatly facilitates the work when all sorts of helpers are at hand in one account, which are also synchronized among themselves. I can’t imagine working on a computer or phone without Google Chrome, Calendar, YouTube, Drive, Translator, Google+, Maps, Analitics, Picasa and many other useful services. And I advise you to use the super-scheduler Wunderlist

That's all I wanted to tell you about today. If you do not keep your diary and do not set goals - immediately start doing it and continue to do it all the time! I hope the above 10 golden rules will help you plan your time and you will start to do much more.

All people do it

You can sit back in a chair - all people do this: put things off for later, lazy, looking for excuses. There are more interesting cases when a person manages to be offended by everyone and everything for the fact that something is not going well with him. Lazy and grumbling old people are just such people who did not get acquainted in time with the art of time management. Now you hardly know what you want. However, having familiarized yourself with the basic principles of time management, you can literally work wonders.

If you do not know where to start, start from the beginning. This banal advice is as primitive as the excuses that people use to mess around longer. By the way, idleness is the worst enemy of all serious undertakings. The best way to bury a million in the ground is to put off work for tomorrow every day, losing one thousand. Someone may call it the beautiful word "procrastination", but this is only a swing and idleness.

The second level of the minor league is the lack of faith in success. You are doing something, but your efforts are like a grain of sand on the beach from which you want to build a sand castle. You need a result. How to achieve it - read below.

Those of them who honestly earned their hard-earned money are modest and inconspicuous people. What distinguishes them from you is only an account with a bunch of zeros and the ability to manage the time and money that this ability brings.

Do not think that time management was invented by wealthy bosses who had nothing to do. This is a universal mechanism that works in any area of life like a watch. TM is a tool with which you can succeed in any field. Everything is achieved primitively simple - you learn to manage your time and spend it wisely, getting the maximum effect from every minute.

First - about the pleasant

A clear example of the benefits of TM - imagine yourself. Only you have no business today. You made them three years ago. You have a completely different life, a good car, at work everyone greets you ... What happened?

And it all started with how you read on the network about a strange thing - time management. They removed the garbage from the computer's basket, from the disks, removed it from their room, apartment and, finally, from their heads. You began to devote more time to work, family and you never have depression because of work. Does this happen? Yes!

Procrastination is hard work. Time Management Basics

No need to scold yourself for idleness. You do the hard work. No, you are almost enslaved by your own habits. But here's the problem for you - imagine that tomorrow is the end of the world. That's it, come! Late running around banks, neighbors, repaying debts, nailing a shelf on the wall - does it make sense to do all this on the last day? Not! Nice. Now you can catch up to the jumping out heart and return it to its place, gather your thoughts. Congratulations - now you have taken the first step!

Start each morning with the thought of what this day would be like if it were the last. This simple exercise allows you to set goals. Best of all - take a piece of paper and spend 15-20 minutes on listing important matters so as not to spend the next 15-20 hours on their partial implementation.

One plan is good, and two is better!

Any success does not come by accident. And even thanks to hard work, it can be difficult to achieve. The reason is the lack of a clear plan of action. Ask yourself why you still do not have such a plan - you won’t give a clear answer to yourself.

Half of all your failures in life are due to the fact that you do not know the answer to two questions of all the illustrious commanders:

  • Where are we at the moment?
  • Where to tread?

Having a clear action plan, you can know what and when to do it. You will have a card in your hands with clear arrows pointing to the place where the real treasure is buried! It is very important to write a plan. If you do not write down the goal, then easily abandon it under any pretext. When it is recorded, it will not be possible to get out.

Eaters - away!

There are many names for such matters, but the essence is the same - to suck out energy from you. Throwing away a laptop or unsubscribing from useful newsletters is not a good idea. Nobody will also forbid you to watch your favorite movie. But during important matters, make it a rule to concentrate on work. As soon as you begin to succumb to the magic of social networks or the landscape outside the window, you are gone.

Priorities

If you want to be successful, you simply must be able to assign numbers to cases. The main business is a lot of time. Side - a bit. But for entertainment you can leave an hour or two. After some time, this meager period of time will become the abyss that separates you from the coveted new day and new work.

Divide and rule!

This interpretation of Caesar is the most humane and most practical in our world. You will have to separate information flows - into the necessary and the unnecessary. You are required to be able to quickly navigate the flow of information and not waste your time on what you do not need. Ruthlessly weed out fans who complain about life and do nothing while trying to impose something on you.

Learn from the French

The principle was not invented by the Frenchman. But respected Brian Tracy urges you to cook a familiar dish for them - a frog. It seems that Uncle Tracy does not share the boundless love of the French for this dish. In addition, he suggests eating it in its entirety, and not just its paws. Everything falls into place when you realize that the frog is your most unpleasant thing, which you constantly postpone. Just eat it in the morning and walk around with a contented smile all day!

From call to call

Heroically overfulfilling an underfulfilled plan is not a good idea. You can be exhausted in the pursuit of every minute result, but the real strength is in system. Learn to devote time every day to an important business for you, and you will achieve much more than by trying to attack and raiding. The best way to get rich is to work hard, but only at a certain time. This habit will help you unlearn how to take work home, constantly thinking about it.

Remember also that time management, like any other technique, should be used wisely. As mentioned above - avoid hops and raids. To be lazy is also possible and even necessary! However, strive for states of flow and peace. At work, spin the flywheel of intelligence and do not let yourself go until you start solving problems, like clicking nuts. Learn how to do household chores and relax at home. The main rule of time management: worked well - have a good rest.
