And then lunch will be soon, figs strain, because after lunch a lot of time, you will have time. After lunch, the boss sent him to a meeting with partners. You arrive in the evening at the office, you understand that you didn’t have a damn thing, you linger at work to finish it all. Suddenly you recall that today is the birthday of a loved one, you call him, congratulate him, and say that you will not come, because a lot of work. You arrive home from work, there is no mood, tired as a dog, you take a couple of bottles of beer to correct your mood. With children there is no desire to play, with a wife (husband) is also not the best time to spend time. He turned on the telly and soon passed out in his chair, not even finishing his beer. And so day after day ...

Hope you spend your day more profitably. Nevertheless, a lot of people live every day. Naturally, what I cited as an example is a tiny fraction of what really happens to people. There are a bunch of other side effects. And all due to the fact that a person lives today and conducts it as circumstances arise. Hence the productivity, that in the work plan, that in the family is close to zero. Fortunately, there is a way out. Daily planning of your day will help increase your productivity.

Daily time planning is an integral part of any successful person. After all, when a person always knows what he wants and what needs to be done at a certain point in time, he manages to do much more than he who spends his day “how it goes.”

Here are ten basic rules, adhering to which you can make your ownwork schedule as efficiently as possible. Of course, this is not a panacea, and everyone can edit their diary in accordance with their own strengths, the amount of work, the speed of tasks, sleep, rest, etc.


1. Try to adhere to the principle of 70/30.
Planning absolutely all your time is impractical, because in this case, your actions will completely diverge from your schedule. And the complete “imprisonment” of your time in a diary will lead to the fact that you will be in too tight a framework and constantly feel like some kind of robot, in which all life is minutely painted.

The best solution is planning 70% of own time. You must admit that some events are difficult to predict, and almost every day a certain “surprise effect” occurs, so you should always leave some of the time free. Or, as an option, make a certain margin in each time period.

2. Make a plan for the next day tonight.
Planning the next day at the end of today is commendable, but in order not to forget anything, be sure to write down all your affairs. Separate cases by importance by dividing the notebook into two columns. In the first, write down what needs to be done immediately. In the second - which is less important, and in the case of force majeure it can be transferred to another day.

Cross out the tasks and tasks that you dealt with one after the other. This will serve as an additional incentive for you and add new forces to solve the remaining tasks. The fewer tasks you have left, the more confidence that you will cope with them.

At the end of each day at the very bottom, you can add an inscription like: "Hooray! I did it ”,“ Well done! ” But this is only the beginning! ”,“ I managed to do everything! I am cool! But there is still a lot to do! ”. This inscription will also stimulate you to achieve your tasks in the morning and at the same time not relax.

3. Try to accomplish most of your plan before lunch.
When you realize in the middle of the day that the most important thing is done today and is already behind, it is much easier to complete the remaining tasks. Take advantage of the lunch break to solve your personal affairs (call relatives, answer missed calls, discuss issues with the bank on a loan, pay bills, etc.). Leave a minimum for the evening (negotiations with the developer, going to the salon, buying food, training in the gym).

4. At each working hour, add rest minutes.
Mandatory rule for everyone. The more often you relax, the more productive your activity will be. Everyone chooses the most convenient scheme for himself, but two schemes work especially well: 50 minutes of work / 10 minutes of rest or 45 minutes of work / 15 minutes of rest.

During the rest it is not necessary to smoke bamboo and spit on the ceiling while lying on the couch. After all, this time can be spent with benefit. Do a warm-up: push up, pull yourself up, stand on your head (if space permits), do exercises for the neck and eyes. Put the workplace in order, do the cleaning in the house or office, read a book, take a walk in the fresh air, make the planned calls, help colleagues (family, if work at home), etc.

5. Try to create realistic planning.
Do not overwhelm yourself with such a volume of work that you cannot handle. Do not go to extremes of excessive planning (such as any mountains on your shoulder) and plan only such a volume of tasks that you can really cope with.

Please do not confuse planning with goals. Your goals can be super-grandiose, they, in principle, should be so. But in order to achieve these goals in the shortest possible time, there must be realistic competent planning of tasks. This absolutely does not mean that you should work every day until you lose heart rate in order to achieve your goal as soon as possible. It is better to do one thing in small portions stably every day than to do the same thing from the beginning to the end of the day randomly and hastily. Then you will not be exhausted, and the achievement of goals will be systematic.

In addition, add a column at the end of each day. “The plan is completed by ____%” and enter there the percentage of your completed tasks for today. This will serve as additional stimulation for you, as well as provide an opportunity to compare the results and make appropriate corrections in the future when planning your time.

Try every day, although not by much, but to overfulfill the plan. Those. try to additionally close those tasks that were not indicated in the plan. Naturally, they should be tackled only after all the planned tasks have already been completed. Agree, it’s nice to observe your super-productivity, looking at the numbers 105%, 110%, 115% at the end of each working day.

6. Complete large tasks in small parts.
This tactic is also called the “salami cutting” tactic. Einstein noticed thatmost people like to chop wood, because the action immediately follows the result. Divide your goals and projects into small portions and carry them out for a fairly long time, each day giving about two hours to this work. Upon reaching the first interim goal, certain results will be revealed that will stimulate the fulfillment of the remaining tasks.

For example, I’ll take the creation of a product: Every day you can stupidly add the line “Create a video course” to the diary and work on this course. But in this case there is some big cons:

  • you do not have the ability to predict the timing of your course
  • every day you don’t know why you should continue to work on the course
  • you don’t have a feeling of satisfaction from the work done until you finish the work on your course completely

If the creation of the course is divided into many small portions and closed gradually, then all of these disadvantages can be easily avoided.

Those tasks for which you, to put it mildly, cause discontent, or in which you are incompetent, feel free to delegate to other specialistswho perform these high tasks. You will save a lot of time, and the planned work will be done more professionally.

7. Stay in silence for a while.
It often happens that the TV in the next room, the radio that works for days on end, someone's voices, people passing by you, the building under construction on the next street are so annoying that it is simply impossible to concentrate normally on important tasks. Instead of solving specific problems, the tights for 574 rubles that your employee bought today, or the last super-mega-hit Justin Bieber playing now on the radio, spin in my head.

8. Put items in place as soon as you finish using them.
This will save you a lot of time in the future, and also help to avoid clutter. Not for nothing they say: “If you want to know about your future partner, look at his desktop. What order is on his desk - such order is in his affairs. ”

I advise you to throw out all your old and unnecessary things, get rid of excess trash so that only the most necessary for work is on the table.

10. Lead an active and healthy lifestyle.
If you are still not very friendly with sports, gymnastics, water procedures, proper nutrition, etc., then I advise you to add any of this to your daily routine. You yourself will not even notice how quickly your health and overall physical condition improve. Small notes to the plan:

  • The routine It is designed for weekdays (working days) and does not apply to weekends. On weekends there should be a plan, but tailored specifically for rest (everything remains the same, roughly speaking, only the Workflow for Rest changes), as a last resort, some work moments are postponed to the day off (if you did not manage to do something or something deadly important).
  • Each time period is taken with some margin. Deviation from the routine for 30 minutes is normal.
  • Everyone's morning can start from a different time. I just moved to an earlier time to do more and it gave positive results.
  • The time of departure from home to work and back can also be different for everyone. I chose the best time for myself - when traffic jams are already resolving in the city.
  • Daily reading of literature is considered an obligatory rule for everyone. If time does not allow reading at work - read at lunch, on the bus, after work, before going to bed.
  • It happens that in connection with additional matters you have to go to bed much later. In any case, try to wake up according to your schedule, otherwise your daily routine will constantly shift, and this is not good.
  • On weekends, you can get up later and go to bed later, but also adhere to the schedule, waking up and lying down at the same time (for example, an hour or two later than on weekdays).

To plan your time, you can use the organizer, a notebook, a regular sheet of paper, a notebook, various special programs and applications. Personally, I use Google’s very easy-to-use Calendar. In addition to the fact that it has a number of useful functions, it synchronizes with mobile devices, which means that it is always at hand, wherever you are. In general, in the field of application synchronization, Google is taking huge steps. This greatly facilitates the work when all sorts of helpers are at hand in one account, which are also synchronized among themselves.
